isoTracker’s document control module is a powerful tool for managing and controlling all your documents. You can be sure that your staff, and other users, can only view documents that they have been given access to. Our document control methodology guarantees that they are viewing the latest version of a document.

 

Introducing documents from your existing systems is simple. Our document control module accepts all commonly used applications that a browser supports. You don’t have to retype any of your documents, just introduce them into the document control module and build up their properties such as version number, approval details, publishing criteria and review dates.

 

Changes to documents are controlled in an easy and manageable fashion. Only approved users can make changes to documents and a revised version automatically inherits the properties assigned to the original document.

 

A full and complete history trail is kept for each document. You can quickly see everything that has happened to that document, when it happened and by whom. Archived versions of a document are also available to approved users.

 

Customer Complaint Module:

 

Recording, tracking and resolving the causes of customer complaints is a critical part of any organisation’s quality process. Whenever a customer hands you a complaint, he's also handing you an opportunity to create a stronger and more profitable relationship with him. That's because complaints that are handled properly can be converted into increased loyalty and more business.

 

The customer complaint module provides a centralised and easy-to-use interface for recording and tracking complaints from any location whether from your desk while responding to a customer’s call or out in the field with the customer. Complaints can be entered by any user and then routed to qualified complaints administrators who will then assign them based on the complaint’s type and product.

 

Complaints may be routed for investigation to a number of users such as a manufacturing site where specific analysis will be performed and replies made within a specific delay. Complaints may also be routed for corrective action at any stage of the process. If replies to corrective actions are not received by a predetermined time then the complaints are escalated. A complete history of a complaint is available as the complaint is being handled and after is has been closed.

 

Audit Module:

 

Audits are a fundamental part of the commitment to a Quality or any other compliance system. Whether planning, scheduling or running any kind of audit, our audit module greatly simplifies that process. Our objective is to minimize the overhead of running your audits.

 

Our auditing process allows you to easily construct a checklist and attach it to a particular document, either held internally in the document control module or imported from the outside. When an audit is constructed, you will be asked to match an auditor with an auditee for each event of that audit. In fact there can be many events of the same audit with different auditees. Scheduling the audit event is then an easy process.

 

An audit is scheduled in the built-in scheduler and a reminder is automatically sent to both the auditor and the auditee by email as well as being displayed on the isoTracker summary page with all other relevant notifications.

 

When an audit occurs the auditor enters the results on line or prints off the checklist questions and enters results into the audit module at a later date.

 

A failed audit can have a corrective action issued against it which is then tracked until it is resolved or escalated if left unresolved. A range of reports offer an up to date and comprehensive picture of each audit’s status.

 

Competency Testing and Training Module:

 

People are your most important asset. They perform all the important functions that make your company a success. Therefore, ensuring that your staff is knowledgeable and that they comprehend what is required of them is essential to achieve success.

 

Our Competency Testing module addresses this matter by allowing you to construct tests and attach them to the relevant document being tested. The tests are entirely user-defined in a simple multiple choice format. They can be scheduled to run at an optimum time and can include personnel at multiple locations across the world.

 

Each assessment may be assigned as many questions as you require. The question bank is jumbled up each time an assessment is taken ensuring a different selection and order of questions for each iteration. The combination of questions asked at each assessment is safely stored into each trainee’s training records and can be reconstructed for audit purposes.

 

When a test is submitted to the competency testing module it is logged on the trainee’s task feature and a notification is posted on the isoTracker summary page and sent by email. Identified personnel can also follow the testing status of each individual from the moment a test is posted.

 

The system allows tests to be rescheduled if their time has elapsed or a new version of a document is introduced.
